Headclear Privacy Policy

Headclear is made by Reachwise AI Limited ("we", "us"). This policy explains what Headclear collects, why, and what you can do about it. Questions: support@headclear.app.
The short version
- Your voice never leaves your phone. Headclear turns speech into text on your iPhone, using Apple's on-device speech recognition. The audio is never sent anywhere.
- Your words go to Claude only if you agree. To understand what you meant, Headclear asks before it first sends the words of a capture to our server and to Anthropic, who make Claude. You can turn this off in Settings at any time.
- Your things are backed up to your account, so they can sync. An anonymous account is made for you automatically; Sign in with Apple is optional.
- No ads, no tracking. We don't sell your data or share it for advertising, and there's no analytics SDK in the app.
What we collect
Your voice
Speech is transcribed on your iPhone by Apple's on-device speech recognition. The audio never leaves your phone, and we never receive it.
What you say, if you let Claude understand it
Only after you agree in the app, the words of each capture are sent to our server and to Anthropic (Claude), together with the context needed to understand them:
- your spaces and lists;
- your open tasks and recently finished tasks;
- saved facts ("memories") that match what you said;
- names you taught Headclear;
- how many tasks you have;
- your previous capture, if it was a few minutes earlier, so you can correct it;
- the current date, time and your time zone, so "next Friday" means the right day.
Anthropic processes this to return the result to us, as our service provider. Headclear then shows you what it understood, and nothing changes until you confirm.
You can turn this off in Settings → Understanding → Understand with Claude. Headclear then uses a simpler reader on your phone, and nothing you say is sent.
Your account
- An anonymous account. A random ID is created automatically when you first open Headclear, so your data can be backed up and synced. It isn't tied to your name, email or anything else about you.
- Sign in with Apple, if you choose to use it. Apple may share your name and email address with us. If you hide your email, we only see a private relay address.
Your Headclear data
We store these on our server, in your account:
- your spaces, lists, tasks and notes;
- saved facts ("memories");
- your settings: your first name, quiet hours and the names you taught Headclear.
We use them to back up your data and sync it across your devices, and for the Headclear web app when it arrives.
Contacts
If you allow it, Headclear reads the names in your contacts, on your phone only, to help it recognise names when you speak. Your contacts are never uploaded.
Subscriptions
Purchases go through Apple. RevenueCat processes your subscription status and purchase history for us, keyed to your account ID, and tells our server whether you have Headclear Pro. We never see your payment details.
Fair use
Every plan has limits on how many captures Claude understands. To enforce them, our server records each capture it processes: the time, your plan, and usage and cost figures.
What stays on your phone
Notifications, alarms, widgets and Live Activities are all generated on your phone.
What we don't do
- We don't show ads.
- We don't track you across other companies' apps or websites.
- We don't sell your data, or share it for advertising.
- There's no analytics SDK in Headclear.
Who processes your data
We use these providers, each under a data-processing agreement:

Where data leaves the UK or EU, it is protected by the UK International Data Transfer Addendum or the EU Standard Contractual Clauses.
We don't sell or rent personal data, and we don't use it for advertising.
Legal bases (UK GDPR and EU GDPR)
- Contract: running the app, your account, backup and sync, and your subscription and its limits.
- Consent: sending what you say to Claude, and reading your contacts on your phone. You can withdraw consent at any time in the app or in iOS Settings.
- Legitimate interests: keeping the service secure and preventing abuse.
How long we keep it
We keep your data until you delete your account.
Settings → Account → Delete account deletes your account and all its data from our server, erases your subscription record at RevenueCat, and revokes Sign in with Apple. Apple keeps its own purchase records.
Deleting your account doesn't cancel an App Store subscription. Cancel it in iPhone Settings → your name → Subscriptions.
Your rights
You can access, correct, export or delete your data, object to processing, or restrict it. In the app:
- Settings → Understanding → Understand with Claude stops sending what you say to Claude.
- Settings → Account → Delete account permanently deletes your account and everything we hold.
For anything else, such as a copy of your data, email support@headclear.app. You can also complain to your data protection authority. In the UK that's the Information Commissioner's Office (ico.org.uk).
California residents: we don't sell or share personal information as defined by the CCPA, and you have the rights to know, delete and correct it.
Children
Headclear is not directed at children under 13, and we don't knowingly collect their data. If you think a child has given us personal data, contact us and we'll delete it.
Changes
If we change this policy in a meaningful way, we'll tell you in the app before it takes effect.
